How to Edit Text in a PDF Online
Learn why some PDF text is directly editable, how scanned PDFs differ, and the safest workflow for correcting text online.

First, identify the type of PDF
Try selecting a sentence with your cursor. If individual characters highlight, the page probably contains a text layer. If the whole page behaves like one image, it is likely a scan.
- Digital PDF: text and page objects were exported from an application.
- Scanned PDF: each page is primarily an image captured by a scanner or camera.
- Flattened PDF: visible content may have been converted into fixed shapes or images.
A reliable editing workflow
Keep the original file unchanged and download edits as a new copy. Open the PDF editor, select the page, and try the existing-text tool first. For a small correction where the original text cannot be edited, cover the old area carefully and add replacement text above it.
- Match the original font size, color and alignment.
- Zoom in before placing text or a signature.
- Review every changed page at normal size.
- Download and reopen the PDF before sending it.
When OCR is required
OCR, or optical character recognition, analyzes image pixels and estimates which characters they represent. It is useful for scans, but it does not recover a perfect original document. Blurry photos, handwriting, uncommon fonts and multi-column layouts can reduce accuracy.
Always proofread names, identification numbers, totals and dates after OCR. These are short items where one incorrect character can matter.
Editing forms, signatures and annotations
Not every PDF change requires editing original text. Application forms often need typed fields, checkboxes and a signature. Review documents may only need highlights, arrows or comments. Choosing the simplest tool preserves more of the original page.
- Use form fields for structured input.
- Use Add text for blank areas or labels.
- Use Highlight for review without changing source wording.
- Use a signature tool instead of pasting a low-quality screenshot.
Privacy checklist before upload
Remove information that is not needed for the task and confirm the service explains how uploaded files are handled. Avoid uploading credentials, private keys or documents you are not authorized to process. For highly confidential material, an approved offline workflow may be more appropriate.
